Hapo ERP · Factory software for make-to-order manufacturers

Follow every order from quote to delivered lot.

From the first quote to the moment goods leave the warehouse, sales, planning, purchasing, the shop floor, QC and the warehouse work in one system. No more collecting spreadsheets or phoning around for status; when a customer complains, scan the label to open its record and follow the linked inspection, receipt and delivery documents.

Questions a plant manager asks every day, that nobody can answer straight away

An order passes through sales, planning, purchasing, the shop floor and the lab. Each keeps its own file, so information breaks at every handoff.

  • Which quote is the shop floor building to?

    Today

Quotes are revised many times, customer POs sit scattered in inboxes and the delivery plan lives in another file. One wrong version means a wrong lot.

    With Hapo ERP

Every quote version is approved, e-signed and kept in history; the PO and delivery plan stay tied to the right order.

  • Why do we only find a material shortage when the machines start?

    Today

Purchasing estimates from stock spreadsheets, so shortages show up after the work order has reached the shop floor.

    With Hapo ERP

MRP calculates material needs on live stock across warehouses, showing what to buy and what to make before release.

  • Has this lot been inspected, and by whom?

    Today

Incoming inspection sheets, outgoing QC results and lab records sit on paper or in separate files, away from the order.

    With Hapo ERP

Incoming and outgoing inspection results are tied to the lot; lab records live in the same system.

  • A customer reports a defect: which material, and who checked it?

    Today

It takes days of digging through records while the customer waits for an answer.

    With Hapo ERP

Scan the carton label to open its record, then follow the inspection, receipt and delivery documents back to the source lot; the claim is logged as a CAPA.

How an order runs

How an order moves through your factory

Each team has its own screens but works on the same records, so what sales promised the customer reaches the shop floor and the delivery note intact.

  1. 01

    Request and quotation

    Sales

Every quote version goes through approval, carries an e-signature and stays in history, so nobody builds to the wrong one.

  2. 02

    Order and material plan

    Planning

Record the customer PO and delivery plan; MRP runs on live stock to show what to buy and what to make.

  3. 03

    Purchasing and incoming QC

    Purchasing, QC

Each material lot is inspected; accepted and rejected quantities are kept apart in stock.

  4. 04

    Production and plating

    Shop floor

Work orders run through wire drawing, plating, assembly and sorting; rework and scrap are recorded.

  5. 05

    Packing and QR labels

    Warehouse

Each carton gets a QR label that links its record to the source lot before it enters finished goods.

  6. 06

    Outgoing QC and delivery

    QC, Warehouse

Outgoing QC runs on each delivery-note line; scan labels to issue the note, see how much of each customer PO is still open, and sync shipped goods to accounting.

Traceability and quality

A customer reports a defect? Scan the carton label to trace back to the source lot

QR labels printed at incoming QC, packing and finished goods link each record to its source lot. When a customer complains, scan the label to open its record, then follow the linked inspection, receipt and delivery documents. Answer with records, not promises.

  • Material to delivery note

Follow the inspection, receipt and delivery documents from the incoming material lot to the delivery note it left on.

  • QR labels inside the workflow

Print labels at incoming QC, packing and finished goods; scan them with a phone camera in the warehouse and at delivery.

  • Quality tied to the right record

Inspection results are tied to the lot; claims and corrective actions link to the delivery note or production order they concern.

Customer claim

A customer reports a surface defect on one carton. The claim is logged as a CAPA linked to the delivery note.

No label scanned yet.

Records you can follow

  1. Packing and finished goods label

The record that opens when the carton label is scanned

  2. Finished goods receipt

The lot was received into finished goods stock

  3. Delivery note and outgoing QC

Inspection result on the delivery-note line

  4. Source lot and incoming QC

Raw material lot and its incoming inspection

Documents are opened from links on the label's record. This is an illustration, not real data.

Quality and lab, built into the system

  • Incoming QC for five material types
  • Outgoing QC on the delivery note
  • Customer claims and corrective actions (CAPA)
  • Corrosion tests and calibration records
  • Plating bath concentration, temperature and pH
  • Plating solution checks (Hull cell), RO water and chemical top-up

Deployment and technical

Software that fits how your factory works, not the other way round

Configured to each plant's own process, with tight permissions and phone access on the floor.

  • Modules per factory

Switch on only the modules and features you need; company name, logo and tax code are set by configuration.

  • Permissions and approvals

Who can view, edit and approve is set down to individual buttons and table columns. About twenty document types have approval flows.

  • In-app reminders

Alerts when RFQs or purchase requests run overdue, deliveries fall short, or calibration, CAPA and work orders fall due.

  • Excel and printing

Import and export lists in Excel; print documents and QR labels straight from the browser.

  • Phone scanning, two languages

Scan QR labels with a phone camera on the web; the interface is in Vietnamese and English.

  • Connects to the shop floor and existing systems

Run it on your own servers or in the cloud. An MES reads work-order data through a read-only API; your current ERP or accounting software is integrated via API without disrupting it.

Made for factories that build to order

The best fit if your factory makes parts against customer orders and every lot needs an inspection record.

  • Fasteners and screws

Wire drawing, assembly and sorting with lot records from raw wire to packed carton.

  • Stamped parts

Work orders, tooling and mold orders, and outgoing inspection for repeat customer parts.

  • Plating and surface treatment

Plating orders, bath chemistry, corrosion tests and subcontract plating in one system.

  • OEM component suppliers

Make-to-order suppliers who need versioned quotes, open PO quantities and traceable deliveries.

Frequently asked questions

Which kind of manufacturer is Hapo ERP built for?

Make-to-order makers of metal components, such as fasteners, stamped parts, plating and surface treatment, and OEM component suppliers.

Can operators and team leaders who rarely use computers work with it?

Hapo ERP runs in the browser and works on phones; in the warehouse and at delivery, people scan QR labels with a phone camera. The interface is in Vietnamese, and permissions go down to individual buttons, so each person only sees the functions they need.

Does it include accounting or HR?

Accounting, yes: output, finished-goods receipts and shipped goods sync to accounting from the same data. If you already use other accounting software, we integrate it via API. An HR module is not included.

Does Hapo ERP use AI?

Yes. The AI assistant (AI Agent) works on the system’s own data: it answers questions about orders, production and stock in plain language, compiles reports, flags anomalies and suggests production and material purchasing plans.

Can we use only some of the modules?

Yes. Modules and features are switched on per deployment, so each factory runs the set it needs, and permissions can follow your own list of functions.

Which languages does the interface support?

The interface is available in Vietnamese and English.

Can we bring in our current data and keep working in Excel?

Most lists support Excel import and export, so master data and orders can be loaded in, and reports taken out to Excel.

How is it deployed and can it connect to our MES?

It can run on your own servers (deployed with Docker) or in the cloud. An external MES can read work-order data through a read-only API protected by API keys.
